    File Maintenance

    File maintenance can be used to add, edit, delete and view the data in the application files (customers, purchase or sales invoices, suppliers, etc.).

    File maintenance consists of two windows: the maintenance window and the record detail window.

    Maintenance window:

    The file maintenance window shows a grid with the file records.

    The general maintenance options are:

    Add: This option adds a new record to the file

    Duplicate : Makes an exact copy of an existing record. Twice all fields except the code file (which in any case can be duplicated). Window is displayed detailed record of what we could change it.

    Delete: This deletes the current record (record highlighted in the record window). Go to the record to be deleted and click the Delete button.
    Note: Before deleting a record, the program checks the relationships with other files. For example, you will not be able to delete a customer if there are invoices for this customer in the invoice file.

    Edit: This allows you to edit the data of the current record. Go to the record to be changed and click the Edit button. The record detail window where the changes can be made will be displayed.

    View: This option shows the data of the current record. Go to the record to be viewed and click the View button or double-click on the record to be viewed.

    Exit: This exits from the maintenance function. Click the Exit button or press the ESC key.

    Record display order:

    The records are displayed in the grid according to the order defined in the Sort By control. Changing the selection of this control also changes the display order for the records in the grid, maintaining the current (highlighted) record as the reference record.

    Find records by scrolling:

    A record can be located by scrolling through the records with the mouse or by pressing the scroll keys (up arrow, down arrow, PgUp, PgDn, Ctrl+Home, Ctrl+End) until you find the record you want.

    Find records by access code:

    To locate a record using its code, use the Find feature and enter the value to be searched. The program places the cursor on the record with the code you entered or the next highest value if the one you entered does not exist.

    If the search field is numeric or alphanumeric, the program will do the search whenever you enter a keystroke. For example, if you are searching for the name SMITH, then whenever you enter the letter S, the program will search for the first one with an S, then when you add the letter M, it will find the first one that starts with SM, and so on.
    If the search field is a date, the program will wait for you to enter the entire date and exit the field before it does the search.
    The search is done using the field selected in Sort By.

    Example: If you have the file sorted by code, then the program will search by code. If it is sorted by name, then the program will search alphabetically by name.

    Find records for Substrings and Amounts:

    Substrings : on the screens where you see this button, you can search for parts of the data being sought, whether or not these data begin with the party sought. If we look at the phones string "456", will show us both "456342334" as "787845632". Within the screen substrings, allows search by name, name the prosecutor, contact, address, town, e-mail, Web, telephone and fax, notes and zip code.

    Amounts : on the screens where you see this button, allows a search by selecting a range of figures maximum and minimum, or an exact amount. Within the search screen for amounts, can be selected searched total bases, camps and field of income tax rebates.
